Privacy Policy

This policy explains what information we collect, how we use it, and the choices you have. It covers two things: this website (dairyfleet.com) and the Dairy Fleet platform (app.dairyfleet.com) used by our customers.
1. This website
The website collects very little. We do not run advertising, and we do not sell personal information.
- Contact by email. If you email us (for example, to ask about early access), we receive what you send, meaning your name, email address, and message, and we use it to respond. We keep correspondence as part of ordinary business records.
- Infrastructure and security data. The site is served through Cloudflare, which processes technical data (such as IP address and request details) to deliver pages, measure aggregate traffic, and block malicious and automated abuse. We see this data in aggregate, not as profiles of individuals.
- Cookies. The site itself does not set tracking cookies. Security and delivery services may set strictly functional cookies necessary to operate the site.
2. The Dairy Fleet platform
The platform is business software our customers (fleet operators) use to run compliance and operations. When a fleet uses Dairy Fleet, the fleet is the controller of its operational data; we process it to provide the service.
- Account information. Names, usernames, work roles, terminal assignments, and authentication credentials, stored using industry-standard protections.
- Operational and compliance records. Inspections, defect reports, maintenance and wash records, dispatch and scheduling data, photographs taken in workflows, timestamps, and the identity of the person who performed each action. These records exist to satisfy regulatory and audit obligations.
- Retention. Compliance records are retained for the life of the customer relationship and beyond minimum regulatory periods, by design, because audit-grade recordkeeping is the product. Customers can export their records.
- Access control. Access within a fleet's account is role-based and limited to what each role needs. Fleets control their own users and permissions.
3. Service providers
We use a small number of infrastructure providers to run the service, each processing data only to provide their function to us: cloud hosting and databases, content delivery and security, file storage for photographs and documents, business email, and, for specific document-processing features, an AI service provider that processes content a customer chooses to submit for those features, solely to return results to that customer. We do not permit our providers to use customer data for their own purposes, and customer platform data is not used to train third-party AI models.
4. What we don't do
- We do not sell personal information.
- We do not run third-party advertising or ad tracking.
- We do not use customer compliance records for any purpose other than providing the service.
5. Security
Data is encrypted in transit. Access to production systems is restricted, actions within the platform are attributed and logged, and records are protected against tampering and deletion as a feature of the product itself.
6. Your choices and rights
If you've emailed us and want your correspondence deleted, ask and we'll do it where we're not required to keep it. If you are a user of a fleet's Dairy Fleet account, your employer administers that account. Direct requests about operational records to them, and we will support them in responding. Depending on where you live, you may have additional rights under applicable law; contact us and we'll work through them with you.
7. Children
This is business software and a business website. Neither is directed to children, and we do not knowingly collect information from anyone under 13.
8. Changes
If we change this policy, we'll update the date above. Material changes affecting platform customers will be communicated directly.
